The cordin8 TenStep PPMO Solution is comprised of the following five major areas:

1. Project Portfolio Management (PPM) Dashboard
2. Project Notebook
3. Project Knowledge Base
4. Resource Management
5. my cOrdin8s

Project Portfolio Management (PPM) Dashboard

The Project Portfolio Management (PPM) Dashboard serves as Mission Control for the organizational unit. It can be customized to align to the organization's project selection, initiation and monitoring processes. The basic structure consists of five areas - an overview plus four stages:

1. Overview - easy access to reports, such as Issues By Project, Project Financials, and so forth
2. Stage: Idea - The initial capture of information about the idea. Then, you can assign a cross-functional team (e.g., development, operations, finance, legal) to provide quick assessment from their perspective. These assessments, then, are used in deciding which ideas go forward.
3. Stage: Business Case - Once an ‘idea’ has cleared the Idea stage, it moves to the Business Case stage for additional analysis, such as financial, marketing, risk, and technical. At the completion of the analysis, the team scores the idea based upon the organization’s criteria, such as risk, technical complexity, financials, and alignment to strategy. Based upon these scores, the executive team can decide not only which ideas to fund, but in priority order.
4. Stage: Project - When an idea clears the Business Case stage, it moves to the Project stage so that it can be tracked from the project initiation phase to planning to execution to closing. It is at this point that a Project Notebook is created and associated with the ‘idea’ record within the PPM Dashboard. This linkage facilitates the reporting available in the Overview tab. In addition, there is a project assessment form which can be used to assess a project during execution.
5. Stage: Archive - When a project has been completed (or canceled), it moves to the Archive stage. In this section, the user can search on different fields in order to access archived project notebooks or related information.

Project Notebook

The project manager and team members use the Project Notebook to manage all information for a specific project. There are three major zones within the Project Notebook:

1. Project Management Plan - Includes forms and collaborative capabilities for : project roles; project charter; Schedule; Issue Log; Risk Register; Scope Change Log; Meeting Log; Action Item List; Plans; interface to Resource Management Plan; Project Status Report; and more.
2. Project Deliverables - customized for different lifecycles. Examples include: collaborative requirements section; test case management; and test case log. Within the requirements section, the project manager can setup scorecards to evaluate alternatives (e.g., vendor products) against requirements.
3. TenStep Tutorial - link to the TenStep© project management content.

A project manager may use Microsoft Project to plan and manage the project schedule and use the synchronization feature within cOrdin8 to update the Schedule section within cOrdin8.

Project Knowledge Base

During project closing activities, the project manager captures and tags "Lessons Learned", project artifacts, and risks that were identified and how they were handled, to store in the Project Knowledge Base. All of these items are searchable for future project work.

Resource Management

The resource management functionality provides the capability for a Resource Manager to identify a resource pool and relevant sub-pools. Resources can then be assigned to one or more of them. Project Managers have visibility into the ‘live’ resource pool when planning their projects. They can identify a specific or generic resource. They submit their plans to the Resource Manager who reviews and allocates resources to the projects.

my cOrdin8s

my cOrdin8s is the first screen that users see when they login to cOrdin8. It is customizable by users typically based upon their role. From here, they can view items, such as issues, tasks, that have been assigned to them as well as run executive reports that summarize a project.
